What kind of automatic messages will I send to customers?

New customer assignment As soon as you are assigned to a customer as a VPA, he/she will receive a message in which you introduce yourself and offer to get to know him/her briefly.

Dear Mr./Ms. any customer, my name is Michaela Any Assistant and as already announced by Anne-Sophie Herzog, I am your new VPA. I am very much looking forward to support you in your tasks as your Personal Assistant in the future. Under the menu item “My Assistants” you will find my business card with all contact information. Here you will also find a link to my personal profile with information about my education and professional experience. If you have already delegated a task to me, I will take a look at it as soon as possible. To start with, I would be pleased if we could get to know each other personally in a short conversation. I suggest a 5-minute Skype video call, in which we can also discuss your first task. If you agree with this suggestion, I would be grateful if you could send me 2-3 date suggestions for the coming days that would be suitable for you. Thank you very much and best regards, your VPA Michaela Any Assistant  

Customer threatens to become inactive

The customer will receive an automatic chat message if there is no movement on his/her  account for 3 weeks. A movement on the account is either recording time on a task or assigning a new VPA. The chat message reads as follows:

Dear Mr./Ms. any customer, how are you? Is there anything I can do to support you at the moment? We can also talk briefly on the phone or Skype to discuss how to help you in the best way possible. Best regards Michaela Any Assistant

If there is no movement on the customer’s account after seven weeks, an additional email will be sent to the customer notifying him/her of their hourly credit and suggesting possible new jobs.

Dear Mr./Ms. any customer, I hope you are doing well. Is there any current task that I can assist  you with? Here are some ideas of what tasks you may want to delegate to me. 

Back office
Research, organizing appointments, travel orga, event orga, translation, proofreading, correspondence, formatting work, data entry and more

Marketing
Social media management, online advertising, newsletter, SEO, copywriting, blog editing, phone service and much more

Design
Website, online store, blog, landing page, on-site SEO, business cards, brochures, banners, logo, image editing and much more

Sales
Callback, indoor service/sales, TeleSales existing customers, TeleSales new customers, sales development and much more.

Vacation

If you have set vacation in your profile, the following message will be sent during this period when a customer or colleague contacts you in a one-on-one chat:

Dear Mr./Ms. any customer. I am on vacation until 21.05.2019. In urgent cases, please contact Timmy team leader. Best regards, Michaela Sample Assistant

Illness

If you have set sickness in your profile, the following message will be sent during this period when a customer or colleague contacts you in individual chat:

Dear Mr./Ms. any customer. I am on sick leave until probably 21.05.2019. In urgent cases, please contact Timmy team leader. Best regards, Michaela Sample Assistant  

Being assigned a new task as PA

If you are assigned to a task as PA, the customer will get the following message in the task chat:

Dear Mr./Ms. any customer, my name is Michaela Sample Assistant. Timmy Team Leader and Michael Sample Assistant have asked me to assist you with your task closing time. I look forward to completing the task for you. If I have any questions, I will get back to you in a timely manner. As the task progresses, I will check in with you with interim results. Feel free to send me a chat message in the meantime with any questions or further info in this task chat. Best regards, Michaela Sample Assistant
